How to set up your email client

General

You have to set up your email client to draw email from your email server. You will require the necessary pop and smtp server names as well as the correct username and password. If you don't have this information then please email us so we can assist you.

Please choose which email client you choose from those offered for further information on how to set up your email client.

 

Outlook Express

Sample Configuration parameter:

User Information:
Your name:  Name Surname
Email address:  This e-mail address is being protected from spambots. You need JavaScript enabled to view it

Server Information:
Incoming (POP3) mail server:  pop.your-domain.com (port 110)
Outgoing (SMTP) server:  smtp.your-domain.com (port 587)
Account name:  This e-mail address is being protected from spambots. You need JavaScript enabled to view it
Password:  mailbox password

(where 'your-domain.com' is the name of your registered domain with Hetzner)

Guidelines for email account setup:

  1. Launch Microsoft Outlook/Express
  2. Select 'Tools' from the top menu bar
  3. Select 'Accounts'
  4. Select the 'Mail' tab
  5. Click the 'Add' button; Select 'Mail'; The Internet Connection Wizard will appear
  6. Enter your name (to appear in your emails)
  7. Enter your email address
  8. Enter the email server names information as per sample configuration above
  9. Enter you Account Name as This e-mail address is being protected from spambots. You need JavaScript enabled to view it and Password
  10. Your Outlook/Express mail program should now be setup

Enabling SMTP Authentication:

  1. Select 'Tools' from the top menu bar
  2. Select 'Accounts'
  3. Select the 'Mail' tab
  4. Double click on the mail account to open 'Properties'
  5. Select the second tab 'Servers'
  6. Select 'My server requires authentication' under the 'Outgoing Mail Server' section
  7. Click on 'Settings' and ensure that the 'Use same settings as my incoming mail server' checkbox is selected
  8. Select the 'Advanced' tab
  9. Set the Outgoing Server (SMTP) port to 587
  10. The Incoming Server (POP) port should be set to the default setting, 110
  11. Select 'OK' to complete the change

Note: If SMTP authentication is not catered for by your mail program, please use the SMTP server delegated by your Internet Service Provider instead (smtp.your-isp.co.za).

Outlook 2002-2003

Guidelines for new email account setup:

  1. Launch Outlook '02/3
  2. Select 'Tools' from the top menu bar
  3. Select 'Email Accounts'
  4. On the pop-up, select 'Add a new email account' and select 'Next'
  5. Select 'POP3' as the server type
  6. Enter all the relevant details
  7. Check that the following Internet Email Setting are correct: POP3 and SMTP servers; your username should be your full email address
  8. Select 'More Settings'
  9. On the pop-up, select the 'Outgoing Server' tab
  10. Ensure that the 'My outgoing server (SMTP) requires authentication' checkbox is selected, as well as 'Use same setting as my incoming mail server'
  11. Select the 'Advanced' tab
  12. Set the Outgoing Server (SMTP) port to 587
  13. The Incoming Server (POP) port should be set to the default setting, 110
  14. Click 'OK' to save these settings
  15. Click 'Next' and 'Finish'
  16. Your Outlook mail program should now be setup to send and receive mail

Guidelines for existing email account setup:

  1. Launch Outlook '02/3
  2. Select 'Tools' from the top menu bar
  3. Select 'Email Accounts'
  4. On the pop-up, select 'View or change existing email accounts' and select 'Next'
  5. Select the account that is sending/receiving email from your domain name under the list of email accounts
  6. Select 'Change...'
  7. Check that the following Internet Email Settings are correct: POP3 and SMTP servers, your username should be your full email address
  8. Select 'More Settings'
  9. On the pop-up, select the 'Outgoing Server' tab
  10. Ensure that the 'My outgoing server (SMTP) requires authentication' checkbox is selected, as well as 'Use same settings as my incoming mail server'
  11. Select the 'Advanced' tab
  12. Set the Outgoing Server (SMTP) port to 587
  13. The Incoming Server (POP) port should be set to the default setting, 110
  14. Click 'OK' to save these settings
  15. Click 'Next' and 'Finish'
  16. Your Outlook mail program should now be setup to send and receive mail

  7. Enter all the relevant details (select 'POP3' as the server type)
  8. Select 'More Settings'
  9. On the pop-up, select the 'Outgoing Server' tab
  10. Ensure that the 'My outgoing server (SMTP) requires authentication' checkbox is selected, as well as 'Use same settings as my incoming mail server'
  11. Select the 'Advanced' tab
  12. Set the Outgoing Server (SMTP) port to 587
